International Event

Planning an international event in many ways is very similar to planning any event (please see our conference planning guide).

However, there are a number of other considerations if you wish to hold an event abroad or have international delegates travelling to your event.

Location & Transportation

  • Is the venue easily accessible to an international airport?
  • Is traffic a problem around the venue or airport?
  • Do you (or your delegates) require a visa to enter the country?
  • Have you thought about delegates will transfer from the airport to venue and accommodation? (Public transport may not be available or as readily accessible as the UK)
  • If you need specialist equipment, can you hire it at the venue or will you need to allow sufficient time for it to clear any customs procedures?

Language & Customs

  • Will you and your delegates understand the local language? Or be able to communicate?
  • How will local customs and behaviour fit in with the style and manner of your event?

Currency

  • Do you know what the currency is?
  • How will the exchange rate affect your budget?
  • Will the attendees find the event expensive when converting their respective currencies?

Remember:

  • A foreign destination can provide a more engaging experience for your delegates.
  • Keep in mind the logistics for your attendees.
